      License and Certification Qualifications: Certification as a Certified Bookkeeper (CB) preferred.

    Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.

    Experience Qualifications: Five years accounting, bookkeeping, and/or administrative or financial related experience required. Local school system experience preferred.

    Skills Qualifications: Ability to communicate with others in an effective and tactful manner; ability to assist in editing written communications, basic knowledge of management principles and accounting systems; ability to exercise independent judgment; ability to utilize critical thinking in performing analyses; ability to prepare accurate reports, records, and correspondence; ability to use School Funds Online (SFO) accounting software, Purchase Card Works Program, PeopleSoft applications, as well as office productivity software such as word processing, spreadsheets, publishing, and presentations; and ability to represent Gwinnett County Public Schools in a positive and professional manner.

    Primary Responsibilities: Responsible for preparing, updating, and maintaining reports, files, and correspondence, maintaining leave accounting, miscellaneous payroll, purchasing card, and general office functions, assisting in the preparation of initial setup of audit work-papers, assisting in purchasing card reviews, performing necessary initial steps in gathering data and conducting initial analyses in connection with audits and conducting audit steps for necessary inventories.

    1.    Prepare initial setup of audit workpaper files for local school, inventory, compliance, and other audits as warranted.  
    a.  Print reports from local school accounting software for audit files.
    b.  Collect, collate, and print all reports for local school audits each year.  
    c.  Obtain relevant reports and data as appropriate in conjunction with school audits.  
    d.  Obtain additional documentation to assist in workpaper setups for inventory, investments, and other audits as assigned.
    e.  Conduct inventory counts of specified areas when needed to be incorporated in inventory audits.

    2.   Assist in conducting local school audits, inventory audits, and other compliance or procedural audits as assigned.
    a.   Assist auditors with audit working papers, audit financial reports, and general office procedures as needed.  
    b.   Assist with audit testing using pre-selected audit transactions in gathering appropriate information in order to assess the compliance with Board policies, procedures, and state or federal laws.
    c.   Perform some analyses of data to assist in the audit process.

    3.    Perform preliminary review of audit reports and other correspondence for proper structure, form, grammar, spelling, and content to ensure professional quality.
    a.    Ensure audit working papers reflect the same reporting content as the audit report.
    b.    Prepare final audit reports for the Director of Internal Audit's signature and copy, bind, and distribute audit reports as appropriate.
    c.    Prepare audit reports and audit workpapers for scanning into electronic storage.
    d.    Review other correspondence and reports for grammar, spelling, and content.

    4.    Assist with P-Card review processes.
    a.   Assist with the distribution of communications regarding P-Cards to appropriate district management and staff.      
    b.   Assist with reviews of appropriate documentation to assess compliance with established rules and policies.      

    5.   Perform clerical functions for the Department of Internal Audit.
    a.  Perform payroll authorization, prepare purchase card documentation and reconciliation, leave accounting, and miscellaneous payroll.  
    b.  Ensure proper operations of office equipment.
    c.  Maintain stock of the department's office supplies and other various supplies.  
    d.  Prepare audit and other office records for scanning and indexing into electronic storage/retrieval system for archived records.
    e.  Coordinate with staff of various district departments for research and gathering of data and information as appropriate.
    f.   Coordinate calendars of various schedules for department staff.
    g.  Maintain spreadsheets to track audit findings per school, cluster, and type.  
    h.  Schedule meetings when needed for audit staff.            

    6.  Perform administrative duties in relation to departmental business.
    a.  Prepare all departmental purchase orders or work orders as needed.
    b.  Prepare minutes of all meetings and setup time sheets and reports of findings by school and other quantitative analyses.    
    c.  Collect and distribute all departmental mail and/or correspondence.

    7.  Perform other duties as assigned.  

    Physical Demands:
    While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee must occasionally lift and/or move up to 25 pounds.
